Foodservice Sales Coordinator - On-Premise
Position Summary
To provide confidential, professional administrative support to the On-Premise Sales team so the company can meet sales and profitability goals.
Essential Functions
- Reviews, shares, and utilizes Power BI reports for the On-Premise Sales team; ensures reports are accurate; maintains electronic file copies of all On-Premise customer contracts.
- Processes invoices for payment.
- Responds to phone calls and emails from new or potential external customers; gathers information and enters data into CEM database for response and follow-up.
- Prepares, processes, and mails all pricing letters for On-Premise customers.
- Performs general clerical duties for On-Premise Sales Team (e.g. filing; faxing; sorting and distributing mail, incoming correspondence, and faxes; answering telephone; schedule conference rooms; plan meetings; make travel arrangements).
- Creates and maintains RFP’s, Presentations, sales support materials for On-Premise department or team members as needed.
- Adheres to all company policies, standards, and procedures (e.g. OSHA and safety requirements, Federal/State/Local Laws).
- Communicates with other employees and customers regarding requests for information; Supervisors and Sales management team regarding any problems or issues (e.g. employee concerns, reporting issues).
- Tracks department, team vacation and personal days, completes time-off requests, daily, weekly, and monthly sales reports, volume reports, invoices, and other required paperwork according to established standards.
- Maintains confidentiality of financial information, pricing, customer information, employee addresses and phone numbers and other sensitive and confidential information.
- Works assigned schedule, exhibits regular and predictable attendance, and works overtime as needed to meet workload demands. Performs other related duties as required.
- Processes monthly expenses utilizing Concur for self and assigned manager or supervisor as required.
Education Level
High School Graduate or General Education Degree (GED)
Experience
1-3 years of previous administrative support experience required
Computer Skills
Microsoft Office Suite, including Power BI, Teams; CEM Database, VIP
Additional Requirements
Knowledge of beverage industry; On-Premise sales environment. Skilled in internal and external customer service. Ability to: work quickly, efficiently, and independently; multi-task; be detail oriented; meet deadlines in a pressured situation; communicate effectively with customers and other employees and develop good working relationships; adapt to change; solve problems; operate a computer, copier, printer, fax machine; problem solve; read and write; perform basic math functions (e.g. addition, subtraction).
