The Fund for Public Health in New York City (FPHNYC) is a 501(c)3 non-profit organization that is dedicated to the advancement of the health and well-being of all New Yorkers.  To this end, in partnership with the New York City Department of Health and Mental Hygiene (DOHMH), FPHNYC incubates innovative public health initiatives implemented by DOHMH to advance community health throughout the city. It facilitates partnerships, often new and unconventional, between government and the private sector to develop, test, and launch new initiatives. These collaborations speed the execution of demonstration projects, effect expansion of successful pilot programs, and support rapid implementation to meet the public health needs of individuals, families, and communities across New York City.

 

POSITION OVERVIEW

The New York City Department of Health and Mental Hygiene is a world-renowned agency with a long tradition of protecting and promoting health in the nation's most culturally and linguistically diverse city. Our 7,000-plus team members bring an extraordinary array of languages, cultures and experiences to bear on the work of public health. The Center for Health Equity & Community Wellness (CHECW) aims to eliminate racial inequities resulting in premature mortality, with a focus on chronic disease, by addressing the social and environmental factors that impact health. CHECW works to increase placed-based investments in priority neighborhoods with community programming and services based on epidemiology; influence and leverage the health system to promote whole-person care; intensify the agency's approach to tackling big salt, sugar, and tobacco; and finding innovative ways to improve the built environment and address other social determinants of health.   CHECW is comprised of the Bureau of Brooklyn Neighborhood Health, the Bureau of Bronx Neighborhood Health, the Bureau of Harlem Neighborhood Health, the Bureau of Chronic Disease Prevention, the Bureau of Health Equity Capacity Building, the Bureau of Equitable Health Systems and the Bureau of Finance, Administration, and Services.  

 

PROGRAM OVERVIEW

The Bureau of Brooklyn Neighborhood Health, formerly known as the Brooklyn Neighborhood Health Action Centers, the Bureau of Brooklyn Neighborhood Health will continue to provide oversight and leadership in programming and planning for the Brownsville Neighborhood Health Action Center with satellite programming and planning also occurring at the Beford and Bushwick District Health Offices. This bureau will support programming, planning and research opportunities to address racial inequities resulting in premature mortality in Central Brooklyn. The Bureau of Brooklyn Neighborhood Health is seeking an Executive Assistant to join its office reporting to the Assistant Commissioner but working closely with other staff including the Executive Director. 

 

RESPONSIBILITIES

  • Independently handle all aspects of complex administrative support for an agency executive:  
  • Assume oversight responsibility for coordinating and managing the daily administrative functions and logistics of the Bureau of Brooklyn Neighborhood Health, with wide latitude for independent judgment and initiative.    
  • Plan, prioritize, and adjust internal and external meetings and commitment.    
  • Manage and gather information independently, communicating directly with other executives and their staff in the agency. Analyze and resolve moderate to complex situations and competing priorities based on general direction.  
  • Serve as an active participant in weekly team meetings by effectively collaborating with other staff manage the daily workflow of all incoming transactions and deliverables while also planning and prioritizing activities to ensure a smooth flow of the daily operational activities and administration of the division.  
  • Assess urgent situations and exercise independent judgment to escalate important priorities. 
  • Proactively consult with the Assistant Commissioner to review daily priorities and monitor the status of delegated items and projects to ensure timely processing and closure.  
  • Independently manage the AC’s calendar and any travel arrangements to ensure that priorities are accomplished, and unplanned items are addressed, while ensuring they are handled within established agency and city guidelines.  
  • Serve as the primary liaison to all vendors in coordinating administrative activities for special events, including ordering food items, securing venues, and arranging the logistics of setting up IT and/or audio-visual equipment, and handling invoice payments.  
  • Perform other administrative tasks and special projects as assigned. 

 

QUALIFICATIONS

  • 5 plus years’ experience of providing administrative support.
  • Minimum of a bachelor’s degree

 

SALARY AND BENEFITS

FPHNYC offers a comprehensive benefit package.
