Manager, PMO
As a PMO Manager within our Professional Services organization, reporting into the Senior Director of PMO, you will play a critical role in leading a team of Project and Program Managers, overseeing a complex, high-budget portfolio and ensuring successful project delivery across your team. You will also support the development and implementation of an enterprise-level PMO framework, instilling best practices, optimizing governance structures across the PMO team and working with the broader organization to continuously improve our existing PMO Framework.
You will be accountable for ensuring projects are delivered within budget, on time, and to the highest standard, contributing to the growth and strategic direction of our Project Management Office and ensuring project success and customer satisfaction. This position requires deep expertise in portfolio management, advanced stakeholder management, and strong leadership capabilities, particularly in mentoring and developing senior PMO team members, supporting escalations and managing risk.
Responsibilities

Project & Program Delivery: Lead complex projects and programs, providing guidance on governance, risk mitigation, and resource management to ensure adherence to timelines and budget requirements

Functional Management & Mentorship: Functionally manage and support the development of senior PMO team members, facilitating skill development & training, conducting performance reviews and setting clear, strategic goals

PMO Framework Development: Design and implement enterprise-level PMO governance frameworks, ensuring alignment with organizational strategy and best practices

Portfolio & Financial Oversight: Oversee project portfolio budgets exceeding $10M, manage financial forecasting, tracking, and reporting to ensure portfolio profitability and optimal resource allocation

Stakeholder Engagement: Engage with senior stakeholders, both internal and client-facing, to foster strategic relationships, manage escalations, and support ongoing account development

Quality & Process Improvement: Monitor project performance metrics and drive continuous improvement within the PMO, proactively identifying opportunities to streamline processes, improve efficiency, and ensure quality standards are met

Support the management of full project life cycle from initiation to closeout and deliver project & portfolio level financial/status reporting, ensuring projects are completed on time and within budget

Manage and assign PMO Team resources in collaboration with wider PMO Leadership Team to ensure effective portfolio delivery

Assist the Pre-sale/Sales teams and Delivery Leads with project scoping and authoring of SOWs & Change Requests

Proactively identify, report and track scope, budgetary and resource risks and ensure they are escalated and mitigated accordingly

Ensure PMO Framework and methodology is effectively applied (whether agile, waterfall or hybrid) and governed in accordance with best practices and internal compliance requirements

Facilitate continuous improvement of PMO best practices via regular project & portfolio review, lessons learned/reto sessions and effective feedback to the broader organization as required (e.g. sales, delivery & leadership teams)

Assist project teams with complex problems or decisions and provide conflict resolution when necessary

Monitor project team member performance, working closely with Delivery Leads and Functional Managers to set expectations and provide performance related feedback

Utilize existing relationships to look for new opportunities to grow Pivotree's business and expand existing accounts

Ability to travel and attend client on sites as required (e.g. project kick-offs, quarterly steerco’s and other key milestones)

Due to the nature of our global organization, flexibility for occasional off-hours meetings is essential
Requirements

Master’s degree in business, project management, or a related field (or equivalent experience)

Proven experience of managing, leading and motivating PMO teams, including interviewing and hiring of new team members as needed

Proven experience managing, tracking, and forecasting budgets and financials for large scale, $multi-million projects and programs

10+ years in project or program management within a Professional Services/Consulting environment, with significant experience managing large-scale Commerce and Supply Chain projects and portfolios

Experience with Commerce and Supply Chain solutions (e.g. SAP, VTEX, Shopify, Fluent, Sterling)

Familiarity with PIM, MDM and Data Management concepts (e.g. data hierarchies, taxonomies, schema & attribution, relational data, meta data, classification) & associated solutions (STIBO, Precisely/EnterWorks, Syndigo/Riversand, Informatica) is also an advantage

Demonstrable experience with multiple project management methodologies (Scrum, SAFe, Waterfall, Hybrid) and best practices in a matrixed, high-complexity, professional services environment

Proven ability to mentor and lead senior project and program managers within a PMO framework, promoting skill development and leadership growth

Knowledge of industry standard PMO & DevOps tools and platforms (Jira, ADO, Confluence, Smarthseets etc.) and proficiency with Google Suite and MS Office

Experience utilizing enterprise CRM & PSA solutions (e.g. Salesforce, Certinia)

Proven success managing portfolio budgets over $10M and leading global, multi-team initiatives

Exceptional stakeholder management skills, capable of building strong internal and client relationships, with confidence in managing communications at executive level

Strong analytical, organizational, and documentation skills with an ability to work effectively in a dynamic, high-paced environment
