The Project Coordinator will support the Operations Team at our Cleveland, OH location by performing specified administrative tasks during each stage of our environmental project’s. The Project Coordinator will serve as a liaison between the Project Manager, internal departments, and Customers to ensure all project related information is entered timely into EnviroServe’s ERP system from work order creation through invoicing.
Job Responsibilities:
- Create and manage customer projects, recording all required project and customer details, and ensure all project pricing is entered and/or attached in the company’s ERP systems.
- Generate and issue accurate invoices to clients based on contracts, agreements, or sales transactions. After preparation and approval, invoices must be distributed to our clients, including methods such as USPS, portal uploads, and direct emails.
- Maintain and organize billing records, ensuring compliance with company policies and regulatory requirements. This is a fully paperless process.
- Adjust billing if there are changes in the project scope, timeline, unexpected expenses, or requests made by clients.
- Ensure billing practices adhere to industry standards, legal regulations, and company policies
- Monitor and follow up on the daily progress of projects; provide detailed updates to Project Managers and other stakeholders.
- Ensure all project documentation is correct, and projects are accurately entered into the ERP system for billing.
- Ensure all revenue and costs are appropriately accounted for in the ERP system.
- Process change orders in the ERP system.
- Follow up with Project Managers on implementing approvals for projects.
- Ensure on time delivery of billing packets to customers.
- Seek opportunities for process improvements and make recommendations.
- Collaborating with cross-functional teams.
- Responsibilities are not all inclusive and may change based on the need of the company
Required Qualifications:
- High School Diploma or G.E.D.
- Strong computer and data entry skills.
- Proficient in Microsoft Word and Excel.
- Proactive problem-solving skills and the ability to handle customer issues with empathy and efficiency.
- Ability to work in a high pressure, high volume, fast paced environment.
- 1-2 years in customer service, sales support, or a related role.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with customers and Team Members.
- Strong organizational and multitasking skills, with a high level of attention to detail.
- Flexibility to work based on customer demand which may include some evenings and weekends.
Preferred Qualifications:
- Educational background in Environmental Studies, Sustainability, Business Administration, or a related field.
- Experience in the environmental industry.
- Knowledge of environmental products, services, and sustainability practices is highly desirable.
