Onboarding Specialist
The HR Onboarding Specialist will assist the HR Team with our company’s growth in introducing new hires/acquisitions with information and assistance during the onboarding process. The individual will ensure a smooth transition by communicating HR knowledge, HRIS system and technical assistance, and giving the new associates an overall positive experience.
This is a part-time role that requires the ability to travel on short notice, primarily to assist with onboarding and operations at newly acquired locations.
Essential Functions
• Knowledgeable on all aspects of the onboarding process
• Proficiency in Dayforce to enable timely and accurate processing of new hire information; ability to navigate Dayforce to help new hires complete onboarding requirements efficiently
• Proficiency in Windows, Microsoft Office Suite (including PowerPoint, Outlook, Word and Excel) and E-Verify
• Provide new-hire employees with technical assistance to properly execute all onboarding documents, including password set-ups and hardware/software assistance
• Ability to utilize recorded information/video equipment and utilize necessary technology to ensure a smooth on-boarding process
• Ability to learn and follow complex requirements while ensuring accuracy and quality of work
• Ability to manage time to meet service levels and effectively operate in work queue
• Assist HR team members with the processing of E-Verify for I-9 requirements
• Familiar with company handbook policies and company procedures to accurately answer general HR questions regarding policies
• Prepare and distribute onboarding welcome materials
• Other duties as assigned
Minimum Qualifications
• Ability to travel as needed, at times with minimal advanced notice, via plane and/or car
• Ability to work independently and conduct themselves professionally, working with all levels of employees and leaders
• Technical proficiency in various systems and platforms including Dayforce, Microsoft Office, PowerPoint, Excel, Word and Outlook
• Deep understanding of company mission, core values, policies and industry and ability to explain to others in simple understandable language
• Understanding of access permissions, multi-factor authentication, and security protocols.
• Knowledge of virtual meeting platforms (e.g., Zoom, Microsoft Teams, Webex) and VPNs for secure remote access
• Ability to troubleshoot connectivity issues that might affect onboarding systems or remote logins
• Must meet requirements of pre-employment drug screen and background check

• Effective time management and problem-solving skills
• Must be able to multi-task
• Bi-lingual in Spanish is a plus
Physical Demands
This is an office environment; however, some physical movement to access files and update physical files may be required. This requires the ability to lift files, open filing cabinets and bend or stand as necessary. Must also be able to lift up to 50 lbs. without assistance. Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. This role will require the ability to travel to project sites. Appropriate work attire and personal grooming apply per company policy.
