Position Summary
The Production Support Specialist is responsible for setting up new customers, processing customer orders, processing machine orders, maintain records in Excel, and other projects as assigned.
Position Responsibilities
Process Customer Orders
- Review customer orders for accuracy and completeness. Work with customers and Regional Sales Managers to resolve any issues.
- Coordinate the receipt and processing of Customer Information Forms in conjunction with Accounting.
- Maintain the Monthly Sales Report in accordance with established parameters.
- Perform data entry and data maintenance in HubSpot and Epicor in accordance with established procedures, setting up new customers and entering sales orders.
- Maintain monthly sales report in Power bi by using accurate order dates and ship by dates.
- Act as liaison between customers, Regional Sales Managers, Accounting, Production, and Shipping, ensuring a positive flow of communication and information among these groups.
Process Machine Orders
- Analyze customer order releases for complete information, availability of equipment, and required ship date.
- Process job orders in Epicor, including creating the job, entering labor, issuing material, and receiving job into finished goods inventory.
- Process sales orders in Epicor and distribute related documents.
- Process Return Material Authorizations.
- Troubleshoot quantity discrepancies with production, shipping/receiving, and purchasing.
Department Support
- Act as project manager for special projects, at the request of the Product Supply Supervisor or the Director of Operations, which may include writing department procedures and other projects.
- Act as back-up for the Product Supply Supervisor as needed.
Position Requirements
Education & Experience
- High school equivalency required. Associate’s degree in business administration or accounting technology are preferred.
- Two or more years of experience working with production control, inventory control, order entry, purchasing, or accounting in a manufacturing environment and with an Enterprise Resource Planning (ERP) system required. Customer service experience and experience with Epicor preferred.
Skill Competencies
- Working knowledge of inventory control, order entry, and related duties.
- Working knowledge of job order and inventory control functions of ERP systems. Working knowledge of Epicor preferred.
- Working knowledge of CRM systems preferred. Experience with HubSpot and Monday.com is a plus.
- Must be detail-oriented and pay close attention to accuracy.
- Analyzing information gathered to identify potential problems or discrepancies.
- Able to balance multiple responsibilities to multiple internal customers and prioritize them to meet the required deadlines.
- Skilled at solving practical problems and dealing with a variety of situations where only limited standardization exists. Able to interpret a variety of instructions furnished in written, oral, or diagram form.
- Intermediate or higher skill level with MS Excel
