Position Summary:
The Project Administrator serves as the primary administrative support on-site, providing a wide range of services to employees and managers related to project administration and workforce management. Key responsibilities include staffing and scheduling, data entry, benefits and leave administration, onboarding, and orientation. The Project Administrator ensures efficient and professional day-to-day business operations at the site by delivering confidential administrative support in a fast-paced and detail-oriented environment
Primary Responsibilities:
- Manage and handle highly confidential, sensitive, and critical information, files, records, and reports.
- Monitor work progress to ensure alignment with schedules and manpower budget constraints.
- Oversee and coordinate the mechanical on-call schedule and booking.
- Liaise with local union halls to coordinate additional resource requirements for the site.
- Align workforce planning with site resource reductions as needed.
- Prepare and submit resource requests for approval by the Site Manager and Building Trades Unions.
- Follow up on resource orders to confirm fulfillment; if not completed, take proactive steps to secure required resources by:
- Collaborating with Union Dispatchers and Business Agents to source members, travel cards, permit workers, or related trades.
- Facilitate new hire sign-ons upon arrival at the site, ensuring a smooth onboarding process.
- Provide support and guidance for new hires completing online training, ensuring timely and successful completion.
- Collect and manage new hire documentation to ensure compliance with site and CAM policies, including certifications, trade tickets, and welding test results.
- Maintain and update a comprehensive database of resource requests, ensuring data accuracy and accessibility.
- Provide regular updates to the Site Manager and leadership team on the status of resource requests.
- Act as the primary contact for all on-site training, including in-class and online sessions, ensuring new hires receive appropriate training before field deployment.
- Maintain training records and update CAM, ISNetworld, and site-specific training databases as required.
- Support team leads and supervisors in mentoring apprentices and ensuring compliance with apprenticeship ratios.
- Manage the site apprenticeship program, tracking ratios, progression hours, and dates.
- Assist the client with ISNetworld account administration as directed by the Site Manager.
- Draft and distribute site communications, including memos and notices.
- Submit monthly reports to corporate, such as SVDP.
- Manage office consumables, including ordering and maintaining supplies for office equipment such as printers and copiers.
- Process IT requests for both the client and CAM as needed.
Qualifications:
- Diploma or degree in business administration, project management, or a related field (preferred).
- Relevant certifications (e.g., administrative or project management certifications) are an asset.
- Proven experience in project administration or a similar role, preferably in a site or construction environment.
- Familiarity with unionized environments and coordinating with union halls is a strong asset.
- Experience managing training programs, onboarding, and compliance requirements.
- Excellent organizational and time management skills to handle a fast-paced and detailed environment.
- Strong communication skills (verbal and written) for memos, reports, and team collaboration.
- Ability to handle highly confidential and sensitive information with discretion.
- Strong interpersonal skills to liaise with various stakeholders, including union representatives and leadership teams.
- Knowledge of site-specific policies, certifications, and compliance requirements (e.g., trade tickets, safety training).
- Flexibility to adapt to changing project demands and priorities.
