Special Events Coordinator
Who We Are Looking For
The primary responsibility of the Special Events Coordinator is to support client Special Events and Operations in all aspects of planning and execution. The position demands a breadth of professional security planning and management skills, and the ability to establish liaison relationships with vendors and local providers as required. Operational experience in a security role is a plus. This role will work closely with the Crisis24 Operations Manager assigned to each client. In addition to working on projects and tasks with the Operations Manager, this post is required to provide support for meetings, events, and conferences as necessary or at the client’s request. In addition, the Special Events Coordinator will be responsible for understanding the full suite of resources Crisis24 has available to support operations. The expectation is for the Special Events Coordinator to be proactive in learning all systems, procedures, and client/internal POCs. The Special Events Coordinator will be an integral part of the team and will help lead the Special Events Desk within the Crisis24 Operations Center. The Special Events Coordinator will be expected to possess a working knowledge of program rules, policies, and procedures, as well as familiarity with event coordination protocols.
What You Will Work On
- Create and implement high-level products for client teams.
- Implement Special Events security policies, protocols, and procedures.
- Create client-specific and event-specific procedures for clients/stakeholders.
- Collaborate and coordinate with clients Special Events Leaders and Planners and event-specific stakeholders during the Special Events planning phase and to ensure proper company guidelines are being followed during events.
- Provide perspectives, promote ideas, strategies, and initiatives concerning security issues that are critical to the success of client operations. Ensure that security operational concepts are viable, cost effective and aligned with overall client objectives.
- General awareness of different security programs and industry best practices.
- When required, prepare a concise concept of operations for client approval that responds to operational scope and identified risks. When approved, this document will provide the basis for developing a detailed security plan.
- Develop a detailed project plan for specific client Special Events.
- Administer project plans to meet project team milestones and deadlines, as well as administer the approved project budget consistent with client’s guidelines.
- Review and approve invoices for clients.
- Prepare security assessments for all Special Events-related activations as requested by the client.
- Design operational plans that address general and specific risks to client’s operations.
- Continuously monitor threat indicators and modify security plans to address changes that may affect the clients event security posture.
- When required, help identify, validate qualifications, and recommend vendors to support Special Events security operations.
- Resolve any security issues during Special Events and provide regular progress reports and program updates to stakeholders as required.
- Participate in preparation of a detailed After-Action Report that documents all aspects of the project security program and operational learnings that can be applied to future events.
- Be comfortable in dealing with authorities, executives, clients, staff and the public, occasionally under conditions of urgency and in pressing situations.
- Supervise and direct the workflow of communications requests, ensuring requests are handled in a timely fashion.

- Comfort with technology, ability to learn new applications with a proficiency of MS Office Suite, with particular attention in Excel.
- Excellent ability to set priorities, plan long-term, manage multiple projects simultaneously and perform in a fast-paced friendly environment to meet deadlines.
What You Will Bring
- Requires significant (5 years or more) security/events administration with experience in security operations, and/or law enforcement a plus.
- Has a degree in one of the following: Hospitality Management, Public Relations, Security Event Management, Communications, Event Management, etc., or significant equivalent work experience.
- Proven leadership skills and experience in planning and execution of Special Events security programs.
- Must be able to execute and manage client events of varying sizes from small to large.
- Financial management experience in developing and managing stakeholder budgets.
- Must be able to work in a corporate, professional environment.
- Must have experience in managing and executing event physical security.
- Must have exceptional time management skills and a proven track record of meeting deadlines.
- Required to have in-depth knowledge of Microsoft Office and G-Suite.
- Must be able to work efficiently with minimal supervision and be self-motivated to exceed client expectations.
- Must be able to identify critical issues quickly and accurately, as well as provide solutions to potential problems or client concerns.
- Must have a willingness to grow within the team and the company, and to grow the client relationship(s) with POCs.
- Previous experience in event security logistics and/or planning is required.
- Must be willing to work evenings and weekends both in the office and off-site as necessitated by events or client request.
- Ability to communicate effectively in English, both verbally and in writing.
Additional Responsibilities:
- Must adhere to client specific requests including venue location choices, budgetary restraints, vendor preference, etc.
- Must have general knowledge of contracts/SOWs as it relates to event vendors, and stakeholders.
- Research and negotiate with vendors as necessary on behalf of client POCs and Crisis24.
- Must adhere to all legal/medical restrictions and regulations while planning events.
- Must have a basic understanding of risks and mitigation strategies while planning events.
- Be able to coordinate with multiple vendor representatives and create structured guidelines and plans of action for events/projects.
- Must be in attendance of all client-required meetings, which may include daily, weekly, bi-weekly, and monthly syncs/check-ins.
