The focus of the Receptionist / Office Assistant will be the following:  

  • Answers all incoming calls in a professional and friendly manner, transfers callers to appropriate parties
  • Provides callers with general information, such as Company address, directions to the Company location, Company fax numbers, Company website and other related information
  • Greets all visitors and ensures that they follow all security procedures including signing in the logbook, wearing a name tag, etc.
  • Assigns visitor FOBs and ensures that they are returned at the end of the visit
  • Coordinates the pick-up and delivery of express mail services (Federal Exp, DHL, UPS, etc.)
  • Confirms all shipping labels and forms for accuracy
  • Orders and maintains all overnight delivery supplies
  • Maintains records of express mail services and confirms proper delivery
  • Coordinates warehouse deliveries with maintenance personnel – Working with and supporting Facilities and Maintenance Administrator
  • Compiles the employee daily attendance list
  • Provide outgoing file shipping information to the Submissions Supervisor, for input into the Submissions Database
  • Maintains the reservation calendar for conference rooms and the training room
  • Maintains a neat and orderly lobby
  • Assists with other related clerical duties such as photocopying, faxing, filing, and collating
  • Managing the travel organization of our Senior Leadership i.e. booking flights and accommodations as requested
  • Managing confidential documentation, notary services and their UPS shipments accordingly as well as making sure that NDA’s and the agreements are signed by our Managing Director
  • Coordinating with building maintenance
  • Coordinate Health & Safety measures and ensure compliance
  • Purchasing office supplies and equipment and maintaining proper stock levels
  • Liaising and coordinating with lunch & fruit providers
  • Performs other duties as assigned

 

Experience, Education, Skills and Credentials:

  • A minimum of 2 years of experience working as a receptionist is required; certification, formal training, education or demonstrated competency may be evaluated and considered in lieu of the experience requirements
  • Senior certificate is a requirement
  • Proficiency in Microsoft Word, Excel, and Outlook is required
  • Must have knowledge of on-line shipping programs
  • Must have the ability to read, write, speak, understand, and communicate in English sufficiently to perform the duties of this position
  • Must have excellent oral and written communication skills, including the ability to communicate with internal and external parties
  • Must have the ability to handle and organize multiple projects and deadlines
  • Must demonstrate a high degree of attention to quality, details, and correctness
  • Must have the ability to lift and move up to 10 lbs
  • Must be able to crouch, bend, and reach with hands and arms
  • Must have the ability to work at a computer for extensive periods of time
  • Must have the ability to listen to and speak with internal and external parties on the telephone for extended periods of time
  • Must have sufficient hand, arm, and finger dexterity to operate a computer keyboard and other Company equipment
  • Must demonstrate a high degree of attention to quality, details, and correctness
